Perform a variety of administrative and clerical office support activities for multiple staff ensuring timely adherence and deadlines
Uphold electronic and paper filing systems
Fax, photocopy and scan documents as required
Develop a thorough understanding of internal programs and processes
Act as a point of contact for internal and external clients by responding to client and employee inquiries in a timey manner
Maintain and update spreadsheets for tracking of client deliverables and Firm's clients’ database
Review, sort & distribute incoming and outgoing mail & couriers
Prepare, review and modify general templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials
Conduct quality review (accuracy, completeness, appearance) of outgoing correspondence, track upcoming client year-ends & monitor deadlines & process e-returns
Ensure internal and external communication by following up on various client related or internal matters
Support the other administrative team members and ensure their replacement, if necessary
Work collaboratively with other team members and leadership
Seasonal overtime expected
Requirements :
Post-secondary education in administration is considered an asset
2 years of administrative experience in a professional working environment
Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
